Hospitality Social Media Summit (HoSS)

Our commitment

The Hospitality Social Media Summit brings together professionals shaping the future of social media in hospitality. We are committed to creating an environment where every attendee, speaker, sponsor, and team member feels welcome, respected, and able to contribute fully — at our in-person events, at related social gatherings, and within our digital community.

Our industry is built on the art of making people feel valued. We expect our Summit to reflect that same standard.

This Code of Conduct applies to all HoSS spaces and channels, including sessions, workshops, networking areas, VIP dinners and social events, online platforms, and any event-related communications.

Expected behaviour

All participants are expected to:

  • Treat fellow attendees, speakers, sponsors, staff, and venue personnel with courtesy, professionalism, and respect
  • Engage in open, constructive dialogue and be receptive to diverse perspectives and experiences;
  • Respect the intellectual property, ideas, and work of others
  • Treat workshop discussions and strategy sessions as confidential unless clearly stated otherwise
  • Use the networking environment, including the VIP dinner and social events, for genuine professional connection
  • Follow the directions of HoSS event staff and venue personnel
  • Consume alcohol responsibly at events where it is served

Unacceptable behaviour

The following behaviour will not be tolerated at any HoSS event, platform, or communication channel:

  • Harassment, intimidation, or discrimination of any kind — including based on gender, age, ethnicity, nationality, religion, sexual orientation, disability, physical appearance, or professional seniority
  • Unwelcome sexual attention or unwelcome physical contact
  • Sustained disruption of sessions, presentations, or workshops
  • Aggressive, threatening, or demeaning language or conduct
  • Unauthorised recording, photography, live streaming, or sharing of session content, strategy materials, or other attendees’ contributions without consent
  • Solicitation, aggressive selling, lead harvesting, or unsanctioned promotional activity during the event (including mass outreach to attendees using contact details obtained through the Summit)
  • Any behaviour that creates an unsafe, unwelcoming, or hostile environment for others

Confidentiality

HoSS includes collaborative workshops, strategy development sessions, and candid peer discussions. Participants may share business challenges, internal strategies, and performance data in confidence.

Unless explicitly stated otherwise, HoSS operates on a “share learnings, not attribution” basis: you may share general learnings and personal takeaways, but you must not disclose specific business information, strategies, data, or identity-linked comments shared by others without their explicit permission.

Recording and content sharing

Audio recording, video recording, photography of slides, and live streaming of any HoSS sessions, presentations, panels, or workshops is prohibited unless explicitly authorised by HoSS in advance. This includes recording via mobile phones, laptops, wearable devices, or any other equipment.

If unauthorised recording occurs, it must be stopped and any captured content deleted immediately upon request by HoSS staff.

HoSS may arrange official event photography and filming. If you prefer not to appear in any official content, please notify our team at check-in; we will make reasonable efforts to accommodate your request.

Social media at the event

We encourage attendees to share their HoSS experience on social media — after all, it’s what we do. Please be mindful:

  • Use the official event hashtag #HoSS or as specified when posting
  • You are welcome to share photos of the venue, general atmosphere, and your own experience
  • Do not photograph or film other attendees without their consent
  • Do not share slides, strategy blueprints, presentation content, or workshop outputs on social media unless explicitly invited to do so
  • Do not post audio or video clips from sessions
  • Respect any sessions designated as “off the record”

Reporting concerns

If you experience or witness behaviour that violates this Code of Conduct, please report it immediately to any member of the HoSS team.

If someone is in immediate danger or you believe a crime may be taking place, contact venue security and/or emergency services first, then notify the HoSS team. You can also reach us confidentially at:

All reports will be treated seriously, handled with discretion, and investigated promptly. You will not face retaliation for making a report in good faith.

Enforcement

HoSS reserves the right to take any action we deem appropriate in response to a violation of this Code of Conduct, including:

  • A verbal or written warning
  • Removal from the event without refund
  • Exclusion from the post-summit digital programme and community
  • A ban from future HoSS events
  • Involvement of venue security and/or reporting to relevant authorities where necessary

The severity of the response will be proportionate to the behaviour. Decisions regarding enforcement are made at HoSS’s discretion.
