Terms of use
Hospitality Social Media Summit (HoSS)
1. Introduction
These Terms of Use (“Terms”) govern your access to and use of hospitalitysocialsummit.com and hoss.events (together, the “Website”), and your purchase of tickets and participation in any HoSS event, online pass, programme, or related services (together, the “Services”).
These Terms are between you and Hospitality Digital Hub Limited (“HoSS,” “we,” “us,” “our”). By accessing or using our Website, purchasing tickets, or participating in any HoSS event or programme, you agree to be bound by these Terms. If you do not agree, please do not use the Website or Services.
1.1 Who we are
1.2 Consumer and business purchases
If you purchase tickets or Services as a consumer, nothing in these Terms affects your statutory rights (including under the Consumer Rights Act 2015). We do not exclude or limit liability where it would be unlawful to do so.
If you purchase on behalf of a business, you confirm you have authority
to bind that business to these Terms.
2. About our services
HoSS provides:
- The Hospitality Social Media Summit, a premium two-day event held in London
- VIP dining experiences and add-on events
- A six-month post-summit digital support programme, including AI-powered tools and resources
- Online pass access to summit content (where offered)
- Related community content and resources via the Website
3. Eligibility
Our Services are designed for hospitality industry professionals. You must be at least 18 years old to purchase tickets, register for events, or access our programmes.
4. Ticket purchases and pricing
4.1 Booking and payment
All ticket purchases are subject to availability. Prices are displayed in GBP (£) and are inclusive of VAT where applicable (or stated otherwise at checkout). Payment is processed securely through our third-party payment provider at the time of booking. We do not store full payment card details.
A booking confirmation will be sent to the email address you provide. You are responsible for ensuring your contact details are accurate.
4.2 Ticket types
We offer a range of ticket types including in-person summit passes, online passes, and premium add-ons (such as VIP dinner experiences). Each ticket type includes specific deliverables and access levels as described on the Website at the time of purchase.
4.3 Pricing changes
We reserve the right to adjust pricing at any time. Any price changes will not affect tickets already purchased. Early-bird and promotional pricing are available for limited periods and may be withdrawn without notice.
5. Cancellation, refunds, transfers, and event changes
5.1 Cancellation by you
(in-person tickets)
Tickets for the in-person Summit relate to leisure services provided on a specific date/period and therefore do not usually carry a 14-day “cooling-off” right under the Consumer Contracts Regulations. Unless required by law, in-person tickets are non-refundable.
Ticket transfers: You may transfer your ticket to a colleague at no additional charge by notifying us at least 14 days before the event at hello@hoss.events, providing the replacement attendee’s name and email. Transfers requested after this deadline may not be possible due to operational and security requirements.
5.2 Online pass and digital access
5.2.1 Consumer
cancellation rights
If you purchase an Online Pass and/or other digital access from us and you are a consumer, you may have a right to cancel within 14 days of purchase unless an exception applies.
5.2.2 Access during the cancellation period
Where we make digital content and/or digital access available to you immediately (including access to recordings, the online hub, tools, templates, resources, or any part of the Online Pass), you agree that supply begins immediately and you acknowledge that you will lose your right to cancel once supply begins. Where relevant, we will request this express consent and acknowledgement at checkout or before access is granted.
5.2.3 Refund policy for
Online Pass
Unless required by law, Online Pass purchases are non-refundable once access has been granted or digital content has been made available (including partial access). If a refund is required by law, it will be processed to the original payment method.
5.3 Cancellation, postponement, or rescheduling by us
Cancellation: If we cancel the Summit entirely, you will be offered either a full refund or a credit towards a future HoSS event (your choice unless required otherwise by law).
Postponement/rescheduling: If we postpone the Summit to a new date, your ticket will automatically transfer to the rescheduled date. If you are unable to attend the rescheduled date, you may transfer your ticket to a colleague (see Section 5.1). If the rescheduled date is more than 90 days later than the originally scheduled date, you may request a credit towards a future HoSS event by contacting us within 14 days of us announcing the new date. Refunds will be provided only where required by law.
We are not liable for any travel, accommodation, or other costs you incur as a result of cancellation, postponement, or rescheduling.
5.4 Event changes
We reserve the right to make reasonable changes to the programme, speakers, venue, or schedule. Such changes do not entitle attendees to a refund, provided the overall nature and quality of the event are maintained.
6. Post-summit digital programme
6.1 Access
Attendees with eligible ticket types will receive access to the six-month post-summit digital support programme, including AI-powered tools and resources. Access begins on the date communicated following the event and is for the registered attendee only.
6.2 Acceptable use
You agree to use the digital programme and its tools for your own professional development purposes. You may not share login credentials, redistribute programme materials, or use AI-generated outputs in a way that misrepresents their origin.
You must not submit confidential or sensitive information (including third-party personal data) into any tools unless you have the right to do so. AI outputs are provided to support your work and do not constitute professional advice; you remain responsible for decisions and actions taken.
6.3 Availability
We will make reasonable efforts to ensure the digital programme is available throughout the six-month period. However, we do not guarantee uninterrupted access and may perform maintenance or updates from time to time.
6.4 Suspension/termination
of access
We may suspend or terminate your access to the digital programme (in whole or part) if you breach these Terms (including sharing access, misuse of materials, or abusive behaviour). Where appropriate, we will provide notice and an opportunity to remedy the breach.
7. Accreditation
HoSS may offer professional accreditation through accrediting partners. Accreditation is subject to the terms and requirements set by the relevant accrediting body. We facilitate the process but do not directly award accreditation. Completion requirements (such as attendance and participation) will be communicated prior to or at the event.
8. Intellectual property
8.1 Our content
All content on the Website and within our programmes—including text, graphics, logos, images, videos, presentations, templates, strategy blueprints, and other materials—is owned by or licensed to HoSS and is protected by copyright and other intellectual property laws.
8.2 Your use
You may use materials provided through the Summit and digital programme for your own internal professional purposes (including presenting strategy outputs to your leadership team). You may not reproduce, distribute, sell, publish, or publicly share HoSS materials (including recordings, templates, and downloads) without our prior written consent.
8.3 Photography and filming
We may photograph and/or film at HoSS events for promotional and archival purposes. How we process this data and your choices are set out in our Privacy Policy. If you prefer not to appear, please notify our event team on arrival; we will make reasonable efforts to accommodate your request, noting that incidental capture in crowd scenes may occur.
9. Code of
conduct
All attendees are expected to behave professionally and respectfully at HoSS events. We are committed to providing an inclusive and welcoming environment for all participants regardless of gender, ethnicity, sexual orientation, disability, or background.
We reserve the right to refuse entry or remove any attendee who engages in behaviour that is disruptive, offensive, harassing, or otherwise inappropriate, without refund.
10. Website use
10.1 Acceptable use
You agree not to use the Website in any way that is unlawful, harmful, fraudulent, or that could damage, disable, or impair the Website or interfere with any other party’s use.
10.2 Accuracy of information
While we make every effort to ensure information on the Website is accurate and up to date, we do not warrant completeness or accuracy. Event details, speaker line-ups, and programme content are subject to change.
10.3 Third-party links
Our Website may contain links to third-party websites. We are not responsible for the content, accuracy, or privacy practices of third-party sites.
11. Limitation
of liability
To the fullest extent
permitted by law:
- Our total liability to you in connection with any ticket purchase or event attendance shall not exceed the amount you paid for your ticket.
- We are not liable for any indirect, incidental, or consequential losses, including loss of profit, data, or business opportunity.
- We are not liable for any loss or damage resulting from circumstances beyond our reasonable control, including (without limitation) severe weather, public health emergencies, transport disruptions, venue issues, or government restrictions.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded
by law.
12. Data protection
We collect and process personal data in accordance with our Privacy Policy and Cookie Policy. By using our Website and Services, you acknowledge that you have read and understood these policies.
13. Force Majeure
We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from circumstances beyond our reasonable control, including (without limitation) natural disasters, pandemics, government actions, strikes, or infrastructure failures. In such cases, we will use reasonable efforts to reschedule the event or provide alternative arrangements.
14. General
14.1 Entire agreement
These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between you and HoSS regarding your use of the Website and Services.
14.2 Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
14.3 Waiver
Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision.
14.4 Assignment
You may not assign or transfer your rights under these Terms. We may assign our rights to an affiliate or successor.
14.5 Changes to these Terms
We may update these Terms from time to time. The “Last updated” date shows when changes were made. If changes are material, we will take reasonable steps to notify ticket holders (e.g., by email). Continued use of the Website or Services after changes become effective means you accept the updated Terms.
15. Governing law
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
